Audio Guest Book – Hire Terms & Conditions
These terms apply to all Echoes & Memories audio guest book hires with Mischief & Memories Photo Booths. By confirming a booking and paying your invoice you agree to the terms below.
1. General ›
These terms apply to all Mischief & Memories Photo Booths (M&M Booths) audio guest book hires (“we”, “us”, “our”) and the person or organisation making the booking (“you”, “the client”).
By paying your invoice or confirming your booking in writing, you agree to these terms and any additional details listed on your booking confirmation.
2. Booking & payment ›
- A quote is not a booking. Dates are only secured once we confirm availability and you have paid the full hire fee shown on your invoice.
- For audio guest book–only hires, full payment is due at the time of booking unless agreed otherwise in writing.
- For bookings that also include a photo booth package, payment terms will be outlined on your photo booth invoice.
- All pricing is in Australian dollars (AUD) and inclusive of GST where applicable.
- If payment is not received by the due date, we may release your date and offer it to another client.
3. Hire options & inclusions ›
We currently offer:
- Local pickup from Pacific Pines (QLD)
- Drop-off and collection within the Gold Coast & Brisbane region
- Australia-wide postal hire
Each hire includes:
- Use of one audio guest book phone for the agreed hire period
- Personalised greeting (where provided by you)
- Basic acrylic instructional signage and simple styling as described in your package
- Digital delivery of your messages after the event
Any extra styling, signage or keepsakes will be listed on your invoice or booking confirmation.
4. Delivery, shipping & return ›
Local pickup
- Pickup and return times will be confirmed with you before your event.
- You’re responsible for safe transport of the phone and returning it on the agreed date.
Drop-off & collection (Gold Coast & Brisbane)
- We’ll coordinate delivery and collection times with you and/or your venue.
- You’re responsible for ensuring venue access and any approvals required for delivery and collection.
Postal hire
- We ship using an express or tracked service to the address you provide at booking.
- We aim for the phone to arrive at least 3 days before your event, but delays caused by postal or courier services are outside our control.
- If the phone arrives after your event date and is not used, our responsibility is limited to refunding the audio guest book hire fee.
- A pre-paid return satchel or box is included. You must lodge the return within 3 business days after your event.
All hires
- Risk in the equipment passes to you when you collect the phone, when it’s delivered to your address, or when it’s delivered to your venue.
- You’re responsible for taking reasonable care of the phone and accessories until they’re returned to us.
5. Using the audio guest book ›
- You agree to follow the setup and usage instructions we provide (printed, digital or verbal).
- The phone is for indoor or well-sheltered use only. It must be kept dry, away from direct heat and out of high-traffic areas where it may be knocked over.
- You must not open, repair or modify the phone or included equipment.
- Battery life is generous for normal use. If you’re concerned, you can connect the supplied charging cable in a safe location away from guest traffic.
6. Cancellations & changes ›
Changes to date or hire type
- You may request to move your booking date or change your hire type (for example pickup to postal) up to 11 days before your event, subject to availability.
- If your new date or hire type is a higher price, the difference is payable before we dispatch or deliver the phone.
Cancellations by you
- 31 days or more before your event date: full refund of the hire fee paid.
- 30 to 11 days before your event date: 50% refund of the hire fee.
- 10 days or fewer before your event date: no refund, as dispatch and preparation will have begun.
If we need to cancel
If we must cancel your booking (for example due to loss, damage or circumstances beyond our control), you’ll receive a full refund of the audio guest book hire fee you’ve paid. This is the maximum extent of our liability.
7. Damage, loss & late return ›
- You’re responsible for the phone and all accessories from the time you receive them until they are returned or collected.
- Please keep all packaging and return everything in the same condition it was supplied, fair wear and tear expected.
Additional fees may apply if:
- the phone or accessories are returned damaged, heavily soiled or with missing parts;
- the phone is not lodged for return within 3 business days after your event (postal hires); or
- the phone is lost, stolen or not returned.
Where possible we’ll provide an invoice itemising repair or replacement costs. In the case of total loss or non-return, you may be charged the current replacement value of the phone and affected accessories.
8. Audio files, galleries & keepsakes ›
- We’ll download and back up your messages once the phone is returned.
- You’ll receive access to your digital gallery (or equivalent delivery method) within a reasonable time after we receive the phone, typically within 7 business days.
- Turnaround times for add-ons (waveform videos, highlight reels, USB keepsakes, etc.) will be outlined in your booking confirmation.
- If no messages are recorded due to a fault with our equipment, our liability is limited to refunding the audio guest book hire fee.
9. Behaviour, liability & privacy ›
Behaviour & content
- You’re responsible for ensuring your guests use the audio guest book in a safe, respectful and lawful way.
- We may refuse to create or share keepsakes that contain hateful, illegal or seriously offensive content.
- By using the service, you warrant that you have permission from your guests for their messages to be recorded and shared with you.
Liability
- We’re not liable for loss, damage or inconvenience arising from courier/postal delays, venue access issues, misuse of the phone, or events outside our reasonable control.
- Where liability cannot be excluded under Australian Consumer Law, it is limited to resupplying the hire service or refunding the audio guest book hire fee, at our discretion.
Privacy
- We collect the minimum personal information needed to manage your booking and deliver your messages.
- Your audio files are stored securely and shared only with you (and your nominated contact).
- With your consent, we may use short, anonymised clips or screenshots for marketing. You can opt out at any time by emailing us.
